These instructions contain information on modifying the settings for Internet appointments and creating services that can be booked online. First, we'll look at the Internet appointment settings, and then we'll look at creating services that can be booked online.
Internet appointment booking settings
To access the Internet appointment settings from the control panel, click the System settings button.
Next, click Appointment settings.
Internet appointment booking can be enabled by ticking the box shown below.
In the field shown below, you can set the deadline for appointment bookings in minutes.
If desired, an image can be displayed on the Internet appointment booking page, such as the organization's own logo. An image can be added by clicking the Additional functions button shown below and then clicking Change.
This opens the Windows File Explorer. Navigate to the location where the organization image is saved. Once you have located the image, it can be added either by double-clicking on it or clicking once and then clicking the Open button.
Under Languages visible in the Internet appointment booking, select which language options will be available on the online booking page. The options are Finnish, Swedish, English and Russian. You can add languages by clicking Add new and remove them by clicking the X button at the end of the row. Tick the Default box next to the language which you want to be displayed first when people visit the Internet appointment page.
If needed, the name of the organization displayed on the Internet appointment booking pages can be different for different languages. In addition, you can add a message that appears on an Internet appointment booking page for patients who have an appointment booking ban marked on their record. The URL of the privacy statement field can be used to enter the web address for the privacy statement. If the privacy statement link is entered in this field, the Privacy statement section appears at the top of the Internet appointment booking page.
If desired, you can enable a feature which allows patients to change or cancel an appointment via the Internet appointment booking page.
When this feature is enabled, the patient receives a code by text message after entering their name and personal identity code on the Internet appointment booking page. The code is sent to the number recorded for the patient in AssisDent. After entering the code on the Internet appointment booking page, the patient can cancel any appointment and, if needed, book a new one.
Please note: Cancellation of appointments is only possible for already established customers whose phone number and patient card are saved in AssisDent. For privacy reasons, new patients whose phone number is not saved in AssisDent cannot cancel their online booking until their details have been confirmed and saved in AssisDent.
Please note: For it to be possible to cancel or change online bookings, text messages must be enabled in AssisDent. Text messages can be enabled in the system settings by going to the Communications settings tab, selecting Text messages in use and then entering the name or phone number of the sender of the text message.
Please note that text messages sent will be charged according to the current price list. Click Ok to close the reminder message.
Enter the waiting period for transferring and canceling an appointment (in hours). This determines how long before the date and time of the booking the cancellation must be made in order to avoid a penalty fee. If an appointment is canceled after this deadline, a task relating to the appointment cancellation is placed in the job queue of the clinician marked for the appointment.
You can also add text on the terms for canceling and booking an appointment. These terms can then be visible to the patient, so that they see, for example, that a charge is incurred for late cancellations.
You can also choose to make it a requirement that the patient explicitly accepts the appointment terms when making an Internet appointment booking.
Service groups for Internet appointments
At least one service group must be created for Internet appointments. Click Create new service group to add a service group.
Fill in the mandatory fields and click the Save button.
Please note: The name of the service group and the information entered in the description fields appear in the Internet appointment. The Additional information field is for internal additional information.
The name and description of the service group is displayed for the Internet appointment if there are two or more service groups.
Internet appointments and reasons for seeking treatment
The next step is to create the services that can be booked through an Internet appointment, i.e. the reasons for seeking treatment.
To create a new reason for seeking treatment, click Create new reason for seeking treatment.
Next, fill in the necessary details. The required fields are name and appointment duration. If desired, a required role can be assigned to the reason for seeking treatment by clicking the role search field and selecting one or more desired roles. Add the selection to Show also in the Internet appointment, after which the remaining settings can also be defined.
The reason for seeking treatment is added to a service group.
A price list row can be retrieved for the reason for seeking treatment by entering the name of the price list row or part of the name and selecting the desired row from the options that appear below. If the price row shows a price greater than €0, the price will also be visible in the online booking service.
If the In use by default option is selected for the reason for seeking treatment, all employees with the right role and working hours will have this reason automatically available for their Internet appointments. Even if this option is selected, however, it is still possible to exclude particular reasons for seeking treatment from the Internet appointments of particular employees. Such restrictions and exceptions can be set up within the employee details.
Additional information can be entered in the Additional information field. This additional information is not visible to the customer making the Internet appointment.
Once the reason for seeking treatment has been set up, click Save.
To finish, once the desired settings have been entered and the service groups and reasons for seeking treatment have been added, the changes must be saved.
