In the employee data, you can specify employee-specific settings for an Internet appointment, such as:
- Reasons for seeking treatment (meaning services) that can be booked online for the employee
- Reasons for seeking treatment that cannot be booked online for the employee
- Adding a picture and description to an employee's Internet appointment page
- Specifying a different appointment duration for the employee for a particular reason for seeking treatment
Adding reasons for seeking treatment for an employee
a) If the reason for seeking treatment is set as In use by default in the system settings.
In order for the reasons for seeking treatment that correspond to the employee’s role and clinic to be bookable online, these reasons for seeking treatment must be in use for the employee.
First, open the employee’s details.
Under Default settings, enable Internet reasons for seeking treatment for the desired clinics.
To finish, click Save changes.
b) If the reason for seeking treatment is not set as In use by default in the system settings, meaning that this reason for seeking treatment is not automatically in use for any employee.
The reason for seeking treatment should be added separately for each employee for whom it should be possible to book an appointment online with that particular reason for seeking treatment.
First, open the employee’s details.
Under Settings specific to the reason for seeking treatment, select the desired reason for seeking treatment. The reason for seeking treatment can be selected from the list that appears.
Tick the check boxes for the clinics where the reason for seeking treatment should be available. On the same rows, also select Use in Internet appointment booking.
Next, add any other desired reasons for seeking treatment for the employee. To finish, check that the other information for the reasons for seeking treatment have been added (unit, service unit, role and appointment duration), then save the information.
Employee picture and description for online booking
Navigate to the employee’s details, for example by searching for the employee in the search field in the main menu.
Hover over the employee’s picture, click the button that appears, then click Change.
Find the picture from your own files then add it by selecting it and clicking Open. Verify that the image size is 120 x 130 pixels and that the file format is either .jpg or .png. If the image get squashed, this is because there are wide margins on the sides of the image.
You can add for a particular clinician a description that appears to those making online bookings. Just enter this description in the field labeled Description in the Internet appointment booking. First select the language in which you want to enter the description.
Next, add a description.
To finish, click Save changes.
Employee-specific appointment durations
For organization-specific services that can be booked online, a certain default appointment duration is set, for example 30 minutes for tooth removal. If a clinician would like the appointment duration for a particular service to differ from the duration determined for the organization, the change can be made in the following ways.
Navigate to the employee’s details, for example by searching for the employee in the search field in the main menu.
Under Settings specific to the reason for seeking treatment, select the desired reason for seeking treatment. The reason for seeking treatment can be selected from a list that opens below, or alternatively it can be searched for using the search field.
Add the desired appointment duration in minutes to the Length of appointment field and select the desired clinics. Before saving the changes, check also that the correct information has been entered for the reason for seeking treatment, such as the unit, service unit and role, and that the reason for seeking treatment is in use for Internet appointments.
Excluding a reason for seeking treatment for a particular employee
If the setting In use by default is selected in the system settings for a particular reason for seeking treatment, this means that all clinicians with the appropriate roles and working hours have this reason for seeking treatment available for their appointment bookings. If all clinicians are included by default, it is still possible to exclude a particular clinician from a particular service.
Go to the employee’s details and select the desired reason for seeking treatment from Settings specific to the reason for seeking treatment. The reason for seeking treatment can be selected from a list that opens below, or alternatively it can be searched for using the search field.
Untick the boxes labeled Use in Internet appointment booking for the clinics where you do not want that particular reason for seeking treatment to be available for online booking. To finish, click Save changes.
